The tool adds new annotations and text boxes on top of existing content — it does not reflow or directly alter original text. You can place a new text box anywhere on the page to add notes, corrections, or additional content. Existing text in the PDF cannot be edited in the traditional word-processor sense because PDF text is stored as positioned character streams, not editable paragraphs. For full text editing, convert to Word first using our PDF to Word tool, edit, then convert back.

The quick ones that would otherwise mean chasing whoever produced the file: writing a date into a blank, adding your initials beside a clause, labelling a diagram, marking a page for a colleague. You click where you want the text, type it, choose the colour, and it is placed on the page. It is the PDF equivalent of picking up a pen — fast for adding, not designed for rewriting.

Nearly always a colour clash: dark text placed over a dark photograph, or light text on white paper. The colour you pick in the panel is applied exactly, with no automatic contrast adjustment against whatever sits beneath. Before processing, look at what is actually behind each piece of text you have added and choose accordingly — and check the whole page rather than just the spot you were focused on, since a text box can straddle a light and a dark region.

The moment you want to change words that are already in the document. This tool writes new content over the page; it does not rewrite what is underneath, so you cannot correct a typo in the original paragraph — you would end up with your correction sitting on top of the mistake. For that, convert with PDF to Word, edit the text properly there, then convert back using Word to PDF.

Yes. What you add becomes part of the page rather than a comment attached to it, so it prints, it survives being emailed on, and it cannot be toggled off in a reader’s annotations panel. The original page content stays intact underneath — nothing is deleted — which means an annotation placed over existing text obscures that text visually without removing it from the file. Use Redact PDF if the point is to make something unreadable.
