Printing a document just to sign it and scan it back is a time sink that nobody has patience for anymore. Here’s how to sign a PDF directly, without printing anything, using three different methods depending on what you have available.
Method 1: Draw Your Signature (Best for Touchscreens)
Drawing gives you the most natural-looking result. On a touchscreen device — phone, tablet, or touchscreen laptop — you can sign exactly as you would on paper.
- Go to PDFToolsHQ Sign PDF
- Upload your PDF
- Select the Draw tab
- Use your finger or stylus to draw your signature
- Drag the signature box to the correct position on the document
- Click Process Files to download the signed PDF
On a desktop with a mouse, drawing is slightly less natural but still produces a clean result. Draw slowly for better accuracy.
Method 2: Upload a Signature Image (Best for Consistency)
If you have a PNG of your signature — exported from a previous signing tool, scanned from paper, or created in a drawing app — you can upload it directly.
The key requirement: use a PNG with a transparent background. A white background around your signature will appear as a white rectangle on the document. Most phone camera photos of a signature will have a white background — use a background removal tool first.
- Upload your PDF
- Select the Upload tab
- Upload your signature PNG
- Position it on the document
- Download the signed PDF
Method 3: Type Your Signature (Fastest)
For informal signatures or when you need to sign in a specific font style, the type option generates a stylised signature from your name instantly.
- Upload your PDF
- Select the Type tab
- Enter your name
- Choose a signature font style
- Position and download
Where Should the Signature Go?
Signature position conventions vary by document type:
Contracts: Bottom of the last page, on the signature line. Some multi-party contracts require initials on each page.
Forms: In the designated signature field — PDFToolsHQ lets you drag the signature to any position.
Letters: Below the closing (“Sincerely,” etc.), above your printed name.
Is an Electronic Signature Legally Valid?
In most jurisdictions, yes. The UK Electronic Communications Act 2000, the EU eIDAS Regulation, and the US ESIGN Act all recognise electronic signatures as legally binding under most circumstances. The main requirement is that the signature demonstrates intent to sign.
However, some documents specifically require wet ink signatures — certain notarised documents, wills in some jurisdictions, and specific government forms. Always check the requirements for your specific document type.
After Signing: What to Do Next
- Protect it: Use Protect PDF to password-protect the signed document from further modification
- Compress it: If the signature image increased file size, run Compress PDF to reduce it for email
- Flatten it: The signature is embedded permanently, but for maximum compatibility, convert via PDF to PDF/A to flatten all layers
